RoSPA Glasgow – Data Protection Policy

RoSPA Glasgow is committed to safeguarding the personal data of its members. We ensure effective management and security of all personal information.

Upon joining, we collect:
- Name
- Address
- Preferred contact telephone number
- Preferred contact email address
During training, your tutor maintains a personal performance record, which is shared only with you. If your tutor changes or a review is required, this record may be shared with the relevant replacement tutor or training officer.
Purpose of Data Collection
We retain your data to:
- Administer group membership and renewals
- Communicate group activities and relevant updates
Post-Test Records
After successfully completing your test, we record:
- Test date
- Grade awarded
- RoSPA membership number
This information supports:
- Notification to RoSPA of further group training (e.g., tutor training)
- Group administration of triennial tests
Data Security
All data is stored centrally on a secure, cloud-based system. Only authorized office holders with a legitimate need have access. The group operates as a paperless organization; no paper records are kept.
Data Sharing
We do not share your data with third parties.
Data Removal
Details of individuals who don’t renew their group membership will be removed from the database.
Training and Awareness
Committee members receive regular reminders about their data protection responsibilities, especially during changes in office bearers.
Policy Review
This policy is reviewed annually or as needed to ensure it remains current and effective.
